Our privacy posture

A formal privacy policy is being finalized with healthcare counsel. Until it is published here, this page states plainly how ClaroPractice treats your practice's data — and these commitments will not weaken.

What ClaroPractice holds

ClaroPractice is your front office's system of record for referrals, check-ins, missed appointments, staff time and outreach to referring physicians. That means it holds patient names, contact details, appointment dates and referral sources — the same information your front desk works with every day. It does not hold clinical notes, diagnoses or medical records; those stay in your electronic health record.

Recall calls

When a patient misses an appointment, the No-Show Recall feature may call them to offer a new time. Every call identifies itself as an automated assistant calling on a recorded line. The call is limited to scheduling: it will not discuss the reason for a visit, a provider's name, medicines, results or billing, and it hands any such question to your staff. Patients who ask not to be called again are not called again. The outcome of each call — rescheduled, left a message, asked for a callback — is recorded for your staff; the call audio is handled by our telephony partner under a Business Associate Agreement.

Where processing happens

ClaroPractice runs on HIPAA-eligible infrastructure under Business Associate Agreements, and ClaroVisit LLC signs a Business Associate Agreement with every practice it serves. Practice data is used to operate your front office and for nothing else. It is not sold, and it is not used to train any AI model.

Your data stays yours

Referrals, bookings, reports and time-clock records export at any time in ordinary formats. If you leave, you take your data with you and we delete our copy.

This website

This marketing site is static, sets no tracking cookies, and hosts no advertising pixels. If we add analytics, it will be privacy-preserving and cookie-free.
